About Agilitas Group
Agilitas Group is a European expert in temporary employment and HR services. The group consists of several business units. For Belgium, these are the service providers Agilitas, Amplo and Ascento. In 2021, Agilitas Group was acquired by France’s Proman Group. As a result, it grew into a European organization with 1,600 employees and a turnover of 1.2 billion euros.
Their challenges
“Back in 2013, we wanted to serve our customers through electronic invoicing,” says Bart De Padt, Credit & Billing Manager at Agilitas Group. “That’s why we were looking for a partner who could facilitate an electronic billing process. We quickly ended up with Nymus, then still a young organization. From day one, we received tremendous guidance there.
Why did you go looking for a digital solution?
‘Mainly because of the proliferation of formats: each customer has his own preference. There is also the complexity. The PDF invoice remains the most frequently chosen way but delivering an invoice via Ariba is already less obvious. It’s better to engage a high-quality partner who works on this every day. Especially when you consider the investment required to set up a platform yourself.’

How big was the cost savings factor?
“Cost savings was a crucial KPI. By switching from paper to a digital platform, we effectively managed to save a lot of money. On the other hand, it was equally important to increase our digital offering without compromising the quality we want to offer our customers. That is already more difficult to capture in a KPI.’
‘To Nymus we have a partner who thinks along with us about how we can save even more costs. Recent example: by switching to another printing company, the costs for the remaining printing have dropped. Without having to ask, regular and proactive action is taken to further improve the workflow.’
‘As the budget manager of this project, this makes me feel very relaxed, because I know that everything is running smoothly and should anything go wrong, it will be fixed immediately. I don’t have to worry that it will be better or cheaper elsewhere. Not having to conduct a new market study every so often also saves us time and money.’
Our solution
How is the billing process going today?
“As is common in the staffing industry, much of our billing is based on pay for performance of temporary workers. Once the criteria are determined, invoicing is automatic. We send that data to the platform in a structured way. Nymus makes sure the right invoice is delivered in the right way and at the right time.”
What “must-haves” were on your list?
Integrability and automation were very important to us. We wanted the guarantee that if we digitized our invoicing, we could immediately do it as well and efficiently as possible, including all the bells and whistles. That wish was granted: today we can deliver on many more channels, switch flexibly and we also save on costs.”
What do you remember from the implementation process?
“The implementation started with an in-depth analysis where all our requirements were put on paper. That analysis was poured into a blueprint, after which development started immediately. During that development, there was constant consultation and we worked toward a test phase. Nymus did the work, we just had to validate. And before you know it, you’re live.’


How smoothly did customers go along with the digital story?
“Since we stopped offering paper as a standard but paying option, our digital invoicing has exploded, with nearly 93 percent of our customers using it. This shows that many people especially needed a little push in the right direction. Now yes, if I could choose in the past, I also often chose a paper invoice to put in a pile afterwards.”
“To further increase the acceptance rate of our customer portal, we have now enabled online payment and are also trying to offer some additional features. For example, you can mark whether an invoice has been paid or not. Or you can give your accountant access to the portal and forward invoices automatically from now on instead of via e-mail.”
Finally, what does the future hold for invoicing?
“Soon we will add a QR code on our sales invoices, which will make it even easier for customers to pay their invoice via the portal from now on. Later we will even go one step further. We also plan to link the portals of our other business units in Belgium to Nymus X, allowing us to offer our customers an integrated customer experience.”
