As early as 2013, Proman wanted to serve its customers electronically. Two things made that difficult. First, the proliferation of formats: every customer has their own preference. Sending a PDF is still straightforward, but delivering an invoice via a network like Ariba is much more complicated. Second, the investment: setting up and maintaining your own platform requires specialized knowledge that you have to keep up with every day.
On top of that, cost savings were a major consideration. The goal was to move away from paper and toward a digital process, but without compromising the quality that Proman aims to offer its customers. Proman was therefore looking for a partner that could facilitate the entire electronic invoicing process and contribute ideas, rather than simply providing a service.
Proman chose Nymus. Billing in the temporary staffing sector is largely based on performance-based compensation: once the criteria are set, invoices are generated automatically. Proman delivers this data in a structured format to the Nymus platform. Nymus then ensures that the correct invoice reaches the client in the right way and at the right time.
The implementation began with an in-depth analysis in which all requirements were documented. That analysis was translated into a blueprint, after which development began immediately, with ongoing consultation and a clear testing phase. In the words of Bart De Padt: Nymus did the work; Proman simply had to validate it.

The cost savings are realized every year. Nymus actively contributes ideas: for example, by outsourcing the remaining printing work to another printer, those costs were reduced once again. As the budget manager, Proman doesn’t have to conduct a new market study every other day, which in itself saves time and money.
Meanwhile, the portal continues to evolve. Customers can pay online, mark invoices as paid, and grant their accountant access so that invoices are processed automatically instead of via email. The next steps are already in the works: a QR code on sales invoices for even easier payment, and linking the portals of the other Belgian business units to the Nymus platform, for a single, integrated customer experience.
