Verhelst Group relies on a tremendous workforce, both on-site and in the office. As long as everything had to be done on paper or manually, it took a lot of energy and time. The first goal was therefore clear: get rid of paper. By digitizing and automating its financial administration, the group wanted to make a difference for its own employees and for its customers.
A second goal was added to that. Verhelst stands out for the quality of its work, and the group wanted to extend that standard to the digital customer experience. Everything related to debt collection—the process of following up on outstanding invoices—also had to be as straightforward as possible. For the finance manager, this was a personal priority.
The third challenge was cost savings. Sending invoices digitally is cheaper than sending them by mail, but the real benefits lay in the indirect effects: a lighter administrative burden, and customers who can find lost invoices themselves through a portal instead of calling or emailing.
Three specific objectives:
Verhelst chose Nymus. The ERP system automatically forwards invoices to the platform: as soon as an invoice is generated by the system, it is retrieved and forwarded in XML format. Nymus processes each invoice and delivers it to the right person, in the right format, and through the right channel. At the same time, each invoice is digitally archived.
The platform evolved alongside the group’s needs. Whereas customers used to receive only the invoice, they can now also view the supporting documents, such as shipping and weighing slips. These are immediately available in the back office for verification, which keeps the relationship with customers open and transparent.

At Verhelst, paper is no longer the norm. The administrative workload has been reduced because customers can access their invoices themselves through the portal, thereby taking on a portion of the work. This shift toward self-service frees up time, and the finance team reaps the benefits every day.
The cost savings are structural, both direct and indirect. And Nymus actively contributes ideas—even without Verhelst asking—to further optimize wherever possible.
The platform continues to grow. What began with the recycling division is now expanding to the group’s other divisions and companies. Customers who work with multiple entities within Verhelst will be able to find their invoices in one place. The ambition goes even further: a fully-fledged digital customer platform where customers can not only view and pay invoices and supporting documents, but also manage and sign contracts or download certificates.
